Job Summary:
Wilmot Modular Structures is seeking a detail-oriented and organized Entry-Level Dispatcher to join our transportation team. This role is responsible for dispatching and coordinating transportation activities, ensuring the efficient scheduling of drivers and deliveries while also providing administrative and operational support to the Transportation Manager. The ideal candidate will have at least two years of dispatching experience, strong communication skills, and the ability to multitask in a fast-paced environment.

Key Responsibilities:
Primary Dispatching Responsibilities (80%)
  • Assign and dispatch in-house and vendor drivers to ensure on-time deliveries and pick-ups.
  • Monitor transportation schedules and update delivery and pick-up statuses in Salesforce.
  • Communicate with drivers, customers, and internal teams regarding schedules, delays, and logistics concerns.
  • Ensure compliance with DOT regulations and company transportation policies.
  • Assist with coordinating preventive maintenance and service schedules for fleet vehicles.
  • Maintain accurate dispatch logs and reports.
  • Handle urgent transportation needs and problem-solve logistical issues as they arise.
Operational & Administrative Support (20%)
  • Assist the Transportation Manager with fleet record-keeping, including truck certifications, maintenance logs, and compliance tracking.
  • Help process registrations, tags, and insurance records for Maryland fleet vehicles.
  • Support in vendor coordination for freight and logistics services.
  • Participate in safety meetings and daily Toolbox Talks.
  • Provide general support in workforce scheduling and transportation-related administrative tasks.
  • Perform other duties as assigned to assist the transportation team.

Qualifications:
  • Minimum of 2 years of experience in dispatching/logistics (preferably in transportation, construction, or modular industries).
  • Preferred 2+ years demonstrated successful customer service experience required
  • Strong ability to multitask and work in a fast-paced environment.
  • Good problem-solving and decision-making skills to handle dispatch challenges effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Salesforce, Microsoft Office (Excel, Outlook, Word), and other logistics software (or ability to learn quickly).
  • Strong attention to detail and organizational skills.
  • Ability to work both independently and as part of a team.
  • Familiarity with DOT compliance regulations is a plus.
  • Ability to take direction, manage timelines & deadlines, and offer trouble shooting solutions as needed
  • Be a true team player with a “can-do” positive attitude
  • Professional & positive phone contact handling skills are a MUST
  • Follow up and follow through skills with all internal and external customers to help maintain good customer relationships.
  • Ability to handle multiple-lined phone system...GPS system and dispatch to multiple field technicians.
  • Patience and endurance to sit/stand behind a desk all day.
  • Able to identify and handle the urgency of each task, and work in a high-stress position.
  • Have a solid work ethic that includes doing the right thing, being reliable, trustworthy and honest
Work Environment & Schedule:
  • Full-time on-site, Monday–Friday 7AM to 4:30 PM with occasional after-hours availability as needed.
  • Office-based with some interaction in the yard or fleet area.
